Overhead in an ERP system is the indirect cost that arises from operations but cannot be clearly attributed to any one specific product or service.


The meaning of overhead in accounting

Generally, in accounting, costs are divided into two main types:

  • Direct Cost: Costs that can be clearly identified as having been used to produce a particular product or service, such as direct material costs and direct labour costs.
  • Indirect Cost, or Overhead: Costs that arise in the production or operating process but cannot be directly attributed to any particular product, such as factory rent, electricity, management salaries, machinery depreciation, or even cleaning costs.

In the context of an ERP system, these costs are recorded and gathered into various categories, such as Manufacturing Overhead, Selling Overhead, and Administrative Overhead, and the system helps categorise and allocate these costs to various units or products automatically.


The role of ERP in making accounting easier

An ERP system helps the accounting team manage overhead costs efficiently, as follows:

  • Automatic cost allocation: “An ERP system can set Allocation Rules” in advance, such as allocating factory rent by the area used, or allocating electricity by the number of machine operating hours, which reduces the hassle of calculating and allocating costs by hand.

  • Real-time data collection and recording: When a transaction occurs, the system records the various expense data immediately, so the accounting team always has accurate, up-to-date cost information without waiting for documents from other departments.

  • In-depth cost analysis: “An ERP system can generate overhead cost-analysis reports from various perspectives” quickly, such as the overhead cost report for each department or for each product, so executives can decide how to control or reduce costs accurately.
