One of the important components of an ERP system that many people may overlook, but which plays an extremely important role, is the Material Number.

What is a Material Number?

A Material Number is a unique code used to identify each material or item in an ERP system. It helps with tracking, stock management, production planning, ordering, and selling accurately. This code acts like the product’s ID card, so that each step of the business can be carried out quickly and correctly.

The importance of the Material Number in an ERP system

1. Identifying and managing products accurately In an ERP system, every item must have a unique material number, to prevent confusion and errors in transactions.

2. Stock and warehouse control The Material Number helps track inventory quantity, the movement of goods (such as receipt and issue), and helps plan replenishment accurately.

3. Production planning and purchasing Production planning and procurement rely on the Material Number to specify the list of materials needed and to track order status.

4. Creating links between departments The material number helps link data between departments such as sales, production, purchasing, the warehouse, and accounting, so they work together efficiently.

5. Data analysis Reporting and analysing data — such as product sales, stock turnover, or cost analysis — can be done more conveniently by referencing the Material Number.

An example format of a Material Number may be an 18-digit numeric code, such as:

meaning product A with specific attributes such as colour, size, material.

In some organisations, rules may be set for creating a Material Number, such as “product category + model code + colour” e.g. AB123-RED, to make it easier to understand at a glance (called intelligent numbering).

What should good Material Number management look like?

  1. Have a standardised coding system

  2. Avoid duplication

  3. The system should generate codes automatically, or have an approval process for creation

  4. Manage material data completely, such as unit of measure, manufacturer data, cost data

  5. Govern the Master Data regularly
