Is an ERP system really hard to use?

An ERP (Enterprise Resource Planning) system is a tool designed to help manage an organisation’s resources, and it usually integrates all the various systems in the organisation — such as accounting, production, stock management, personnel management, and others.

An ERP system makes managing the organisation more convenient and efficient.

In using an ERP system, if there has been no prior training in the system, it can lead to misunderstanding and difficulty in using the system.

1. Planning and preparation

Before starting to train users, the consultant team will plan the work and prepare in various areas, such as creating master data, configuring the system, and producing user manuals.

This is so that user training of the system can begin efficiently.

2. Training

This training step can be done in the form of online training, live training, or sending the user manual to users so they can see how to use the system and practise on their own.

Online and live ERP training has costs in the form of man-days, with the service rate depending on the agreement between the ERP vendor and the user.

3. Testing

Testing means letting ERP users use the system themselves after they have been trained on it.

It may start with simulating various problem scenarios, in which the user gets to try selecting various conditions in the system and processing documents as trained.

This step helps check the user’s knowledge and understanding of using the system — whether they fully understand the various steps and can use the system efficiently.

In summary, an ERP system is a tool that helps manage an organisation. To use an ERP system at maximum efficiency, system users should be trained with correct information and should test the use of the real system themselves.

So using an ERP system is not difficult, as long as the user has correct knowledge and understanding of the ERP system they are using.
